Logging in to and out of eRoom

This topic is organized into the following sections:

Logging in to eRoom

To start using eRoom, you type your Name and Password in the appropriate boxes on the Login page that opens when you direct your browser to your My eRooms page, to an eRoom you are invited to, or that you are a member of, or to any URL in your site, including site or community administration pages. When you click "OK", and if eRoom validates your name and password, you are logged in to your eRoom site.

See also: Password recovery for information about how, if you are a local eRoom member, you can recover your password if you forget it.

Save Password option

If you have the option to save your password from one eRoom login session to the next, the "Save Password" check box appears below the Password box on the Login page. If you select this option, you don't have to enter your password each time you log in. However, be aware of the security risk that selecting this check box entails. Since your password is already filled in, an unauthorized user could gain access to your eRooms just by clicking "OK" on your Login page.

Note: If your site uses a Logout button, this option is unavailable.

eRoom client options

You can use eRoom with your browser only, or (if you're using Windows) with an optional browser plug-in client.

Most eRoom features work the same with or without the plug-in, but there are some differences. For example, the plug-in provides added functionality such as rich text editing, drag and drop to and from the desktop.

When you log in to an eRoom site for the first time, the Software Options page opens and asks if you want to work with eRoom using Just the web browser, or using the eRoom plug-in software. (You can change this setting later on your Member Information page.)

If you are already using the plug-in when a newer version becomes available at your site, when you log in to eRoom you might be prompted to upgrade the client on your machine. Just follow the prompts to install the new client.

Logging out of eRoom

To end your eRoom session, you can simply close your browser. This logs you out and ends your connection to the site.

If the logout button is enabled at your site, it appears in front of the tool buttons on the right side of the control bar. In this case, you can end your eRoom session by clicking "logout" on any eRoom page that has a control bar, which includes your My eRooms page, but not wizard, dialog, or settings pages.

Clicking "logout" does the following:

Password recovery

If you are a local (not external) eRoom member, and if password recovery is enabled at your site, the first time you log in to a site (or your first login after the setting is turned on), the Password Recovery page opens and asks you to choose a personal question and provide an answer for it. This is so that eRoom can help you recover your password if you don't remember it in the future. When you pick a question, supply an answer, and click "OK", password recovery is enabled for you. You can skip this step by clicking "Cancel". (You can always do it later on your Member Information page, as described below.)

Note: Your eRoom account must have a valid and unique email address to use the password recovery feature. If you don't have one the first time you log in, the Password Recovery page asks you for it before you can pick a personal question and give an answer.

To recover your password:

  1. On the Login page, click "Forget your password?"

  2. On the Password Recovery page, enter the Email address associated with your eRoom account, and click "OK".

eRoom displays a message directing you to your email inbox, where eRoom has sent a message containing a link and instructions that will enable you to log in and reset your password.

Your member information

eRoom keeps member information about all of its members. You can change your own information, such as password, email address, personal question, and client choice, but unless you are an administrator, or have appropriate permissions, you can only look at this information about other members.

To get member information:

To change your password:

Once you are logged in to your site, and if you have permission to change your password, you can do so on your Member Information page. Similarly, if you have permission to change passwords for other local members in your community, you can do so on their Member Information pages.

  1. On your Member Information page, click the "change password" button.

  2. On the Change Password page, type your Old password.

  3. Type your new password twice (New and Again).

  4. Click "OK".

If you are a local community member, and depending on the password rules for your site, eRoom might prompt you to change your password. In that case, the Change Password page opens automatically.

To change your email address:

As long as your community does not require email addresses for login names, you can change your email address by editing the text box on your Member Information page.

Or, if password recovery is enabled at your site (and your community does not use email addresses for login names, or the optional logout button), you can change your email address by clicking the "Change" button on your Member Information page. Then, on the "Change Email Address" page

  1. Type your Password.

  2. Type your new Email address.

  3. Click "OK".

To change your personal question:

If password recovery is enabled at your site, you can change your personal question by clicking the "change personal question" button on your Member Information page. On the "Change Your Personal Question" page, do the following:

  1. Type your Password.

  2. Pick a Question from the drop-down list.

  3. Type an Answer.

  4. Click "OK".

To change your client option (use the eRoom plug-in or just your browser):

  1. On your My eRooms page, click .

  2. On your Member Information page, do one of the following:

  1. Click "OK".

RSA SecurID®

If you are in a group of members who must authenticate with SecurID in order to use eRoom, use the following procedure to log in.

To log in using SecurID:

  1. In the Password box on the Login page, enter your SecurID token and click "OK".

If the New PIN page opens and asks you to pick a SecurID PIN, create a new personal identification number in the PIN box, type it again in the Verify box, and then click "OK".

If the Next Token page opens and asks you to enter the next token from your SecurID card, wait about a minute and enter the next token displayed.

You are now logged in and can start working in your eRoom.
